As powerful as the benefits of document automation are, it is just as important to simplify the maintenance of the automated contracts and contract clauses. The clauses used in the document automation process must be maintained in a clause library. When an update or change is made to content in a particular clause, a new version of that clause is automatically created in the clause library. Once the change is made to the clause, all subsequent contracts that are generated will contain the new version of the clause. When a clause changes, it is also important to have the ability to easily discover which contracts contained the previous version of the clause. This feature in Monexsoft, known as “Where Used,” allows the Monexsoft administrator to locate all contracts that contain the previous version of the clause. This provides insight into which, if any of the contracts with the previous clause are still being negotiated. If these contracts are in negotiation, a determination can be made as to whether the clause language should be changed to reflect the new wording.
